Quick guidance for Toolora and its Expense Split tool.

Getting started

  1. Create an Expense Split group and choose its Settlement Currency.
  2. Add people directly or reuse Saved People and Member Lists.
  3. Record expenses with an Equal, Exact or Itemized split.
  4. Add other Expense Currencies and your own group FX rates when needed.
  5. Review per-currency balances and settlement suggestions.
  6. Use Insights to understand spending, export PDF or Excel reports, or share an editable Toolora group file.

Expense Split FAQ

Where is my Expense Split data stored?

The current version stores its data locally on your device. Toolora does not require an account or send your expense data to a Toolora server.

Can several people update the same group live?

No. Toolora does not currently synchronize one live group between devices. You can export a .toolora file for another person to import as a new, independent and editable group. Later changes to either copy are not synchronized.

Which split methods can I use?

Choose Equal for an even split, Exact to enter each person's amount, or Itemized to allocate individual receipt items. Itemized expenses can also include shared remaining amounts, tax, service charges and receipt adjustments.

What are Saved People and Member Lists?

Saved People let you reuse names without retyping them. Member Lists let you add a familiar group of people together. Descriptions, search and recent choices help you find the right saved entry; adding members remains a local, confirmed action.

How does Expense Split handle multiple currencies?

A group has a Settlement Currency, while individual expenses can use other Expense Currencies. Toolora keeps balances by expense currency. You can save group-specific FX rates when you want settlement suggestions converted into the Settlement Currency; rates are entered and maintained by you.

What is a Receipt Reference?

It is an optional amount and currency copied from the receipt for reference. It does not affect balances—the Amount Split remains the amount allocated to members.

What are Discount or Bonus Balance payment details?

For supported payment situations, you can record how a discount or bonus balance, top-up and cash-equivalent amount contributed to the final amount split. Toolora shows the breakdown in Expense Details and reports so the calculation can be reviewed.

What does Final Settlement Status do?

It lets you record that a group's final settlement has been completed, including the completion date. This is tracking only and does not change balances or calculations.

How do I share an editable copy of a group?

Open the group, select Insights, scroll to Export Data and choose the Toolora group-file option. Review the privacy reminder, then use the iOS share sheet to send or save the .toolora file. The recipient needs Toolora to import it.

How do I import a Toolora group file?

From the Expense Split home screen, choose Import Toolora File and select a .toolora file. Review the preview and confirm the import. Toolora creates a new local group—it does not merge with or overwrite an existing group.

Can I import an Excel workbook?

No. Excel workbooks are designed for reporting and reconciliation. Only .toolora group files can be imported as editable groups.

Why does Toolora say an app update is required?

The group file was created with a newer Toolora data format. Update Toolora and try importing the file again. The sender and recipient do not otherwise need identical app versions.

How do I export a PDF or Excel report?

Open the group, select Insights, scroll to Export Data, then choose the PDF or Excel option. Both reports include the group's recorded details for checking and reconciliation. Reports cannot be imported back into Toolora.

Can deleted groups or expenses be recovered?

No. Deletions are permanent in the current local version, so review confirmation screens carefully.

Can I change currency settings?

The Settlement Currency and active Expense Currencies are managed in Group Settings. Toolora protects currency settings that are already referenced by expenses, balances or FX rates so existing calculations keep their meaning.

Why can't I delete a member?

A member cannot be deleted while an expense refers to that person as a payer or participant. Edit or delete those expenses first.

Why is Spending Over Time not shown?

The chart appears after expenses have been recorded on at least two different dates.
